Restaurant waitlist software for one dining room

TL;DR
Restaurant waitlist software is the host-stand list on a screen. It records party size, a quoted wait, and who is next, then reaches the guest when the table is ready.
Waitlist is that software for an independent US restaurant. Free is one location, a digital waitlist, and manual WhatsApp, up to 50 parties a day. Pro is $30/month, or $24/month billed annually, and adds automatic WhatsApp, reservations, and tables.
Start for free. No credit card. Plan limits are on pricing.
The short answer
Restaurant waitlist software is the host list on a screen. It keeps the party size, the quoted wait, who is next, and a way to tell the guest the table is ready. The Friday failure is a host who wrote "Sarah, 4, 25 minutes" and then could not tell whether Sarah was next, outside, or gone.
This page is for one independent dining room in the US. You will see what the list has to hold, how a walk-in list differs from reservations, and when the free plan is enough.
Other apps' free caps are in the free waitlist apps for restaurants comparison. For Waitlist's own limits, use this page and pricing. That older comparison still describes a WhatsApp allowance the current free plan does not include.
What a restaurant waitlist is on a Friday
A restaurant waitlist is the parties who walked in and do not have a table yet. A useful row has four fields:
Name
Party size, so a two-top is not offered to a six-top
Quoted wait, plus how long they have already waited
Status: waiting, seated, canceled, or no-show
The host adds the party in a few seconds, or the guest joins from the restaurant's link. That link can sit in a QR code on the shelf. Either way there is one list. A second clipboard for "people who scanned" is how names get seated twice.

Guests without a phone still belong on the list. Add the name and the party size, and call them when the table is ready. WhatsApp is a helper, not a requirement.
A waitlist for restaurants is not a generic queue
A waitlist for restaurants fails when it is borrowed from a clinic or a product launch.
A clinic queue calls a number at a window. A launch waitlist collects emails for a release date. A dining room seats parties into tables of different sizes, often while reservations are also arriving. The software has to know that a 7:30 reservation and a walk-in four-top are competing for the same four-top.
Waitlist keeps walk-ins on every plan. Reservations and table management are on Pro. On Pro you add areas and tables, see what is free, and seat from the waitlist or from the reservation list. The free plan does not include that floor. If you only need the walk-in list, stay on Free until a Friday proves you also need bookings.
One location on Free. Unlimited locations on Pro, each with its own waitlist, so two addresses do not share one line.
Restaurant waiting list
"Restaurant waiting list" is guest language. They asked to be added. They want to know if they can leave, and they want to know when to come back.
Say the wait out loud and put the same number on the list. When the table is ready, message them. On the free plan the host sends that WhatsApp. Pro sends it automatically, including the guest's personal link and the ready message. Guests who joined from your link can already see their place on that page.
If they have to walk back to the podium to ask "how much longer?", the waiting list is still a clipboard. The screen did not replace the conversation.
This is also why a buzzer is optional. A buzzer keeps the guest near the door. A message lets them wait at the bar or outside, which is the point of a waiting list on a packed night.
Waitlist app for restaurants
People ask for a waitlist app for restaurants, a restaurant waitlist app, a waitlist restaurant app, or a restaurant wait list app. The host wants the same thing either way: something they can open on the iPad already at the stand.
Waitlist runs in the browser on iOS, Android, Windows, and macOS. Chrome, Safari, Edge, or Firefox is enough. There is no separate guest app to install, and there is no host hardware to buy. Log in on the host tablet and a manager's phone. Both see the same list.
Check-in from a QR code is a setup choice, not a different app. The restaurant check-in waitlist page compares that path with other products. It does not decide whether a host-stand list is worth paying for.
What the app does not do: it will not put the restaurant on Yelp Guest Manager, and it will not take bookings from OpenTable's waitlist. If most new names already arrive there, those products own discovery. Waitlist owns the list at your door.
What to check before you switch off paper
Run one busy service and count three things:
Parties added
Times someone asked how much longer
Parties who never came back when you called them
Then look at the limits, not the feature grid.
The free plan holds 50 parties a day and one location. WhatsApp on that plan is manual. If the host cannot tap send during the rush, the guest experience is the same as paper. Pro removes the daily cap and sends WhatsApp for you.
Two-way SMS is Coming Soon on Pro. Do not switch off a texting tool you already rely on until that ships. Email is not the table-ready channel.
Public page branding is also Coming Soon. Until then, guests use the join link and the queue inside the product. You can still type a note on a party. Preset notes, such as a one-tap "high chair," are not available yet.
What it costs
Free is $0. One location, the digital waitlist, manual WhatsApp, up to 50 parties a day. No credit card. No contract.
Pro is $30/month, or $24/month when billed annually. Same features either way: automatic WhatsApp, analytics, unlimited locations, reservations, table management, and priority support. Annual is one charge for the year, 20% less than paying $30 each month. Cancel from Settings. Pro stays on through the period you already paid, then the account returns to Free.
Analytics on Pro includes walk-ins, average wait, peak times, alerts sent, and no-shows, with a CSV export. Party history is available for seated, canceled, and no-show visits.
Support for every account is support@waitlist.best. Pro includes priority support.
Move to Pro when you pass 50 parties on a real Friday, when you take reservations, or when you open a second address. If the host stand only needs the walk-in list, stay on Free until one of those shows up.
Run one Friday before you pay
Add every walk-in in Waitlist for one service. If the host still has to shout names across the sidewalk, the list was not updated and a more expensive app will not fix that. If the list held and you also needed reservations, tables, or a second address, move to Pro.
FAQ
What is restaurant waitlist software?
It is the system a host uses to track walk-in parties, quote a wait, and tell guests when the table is ready. Waitlist does that in the browser, with WhatsApp as the guest message.
What is a restaurant waitlist?
It is the live list of parties waiting for a table. Each row needs a name, a party size, a quoted wait, and a status. A paper list is the same object, until two hosts write on it at once.
Is a waitlist for restaurants the same as a reservation book?
No. The waitlist is walk-ins who are here now. Reservations are parties booked for a time. On Waitlist, walk-ins are on every plan. Reservations and tables are on Pro, so both can be seated from one account instead of a book plus a clipboard.
What is a restaurant waiting list to the guest?
It is the promise that their name is in order and that someone will tell them when the table is ready. If they have to ask the host for an update, the list is not doing that job yet.
What is a waitlist app for restaurants?
It is the host's app for that list. "Restaurant waitlist app," "waitlist restaurant app," and "restaurant wait list app" are the same query. Waitlist is a browser app. Guests do not install it. They use your link, and they get WhatsApp.
How much does restaurant waitlist software cost?
Waitlist is free for one location and 50 parties a day, with manual WhatsApp. Pro is $30/month, or $24/month billed annually, for automatic WhatsApp, reservations, tables, analytics, and unlimited locations. Confirm the current numbers on the pricing page before you move a Saturday service.
