Restaurant check-in waitlist apps for a busy host stand

TL;DR

  • Waitlist — The restaurant places a QR code on a shelf. Guests scan it, see their place in line, and get WhatsApp. Reservations and tables sit on Pro.

  • ScanQueue — Printed QR at the door. Guests join in the browser and can wait somewhere else.

  • Waitlist Me — US plans with self check-in and kiosk mode on the paid Premium plan.

  • NextMe — A free SMS waitlist. Self check-in starts on the paid plan.

  • Waitwhile — Walk-ins and appointments together. Starter pricing begins at $31/month and scales with visits.

  • Yelp Guest Manager — Guests join the waitlist from Yelp, Google, and Apple Maps. Basic starts at $159/month, or $129/month billed annually.

Pick by the door, not by a logo.

  • Guests should scan a QR code on the shelf and get WhatsApp, and you want a restaurant waitlist: Waitlist.

  • You want the guest's phone to be the line, and you want them waiting away from the door: ScanQueue.

  • You want a kiosk or a website widget at a published US price: Waitlist Me Premium.

  • Traffic is light and the host can add every name: NextMe's free plan. Pay when guests should check themselves in.

  • Reservations and walk-ins need one schedule, and you can price by visits: Waitwhile.

  • Most of your names already arrive from Yelp: Yelp Guest Manager.

The short answer

A restaurant check-in waitlist lets a party join the line from the host stand or from their own phone, then shows them where they stand until the table is ready. The useful version records party size, gives a wait you can defend, and messages the guest so the host stops repeating "how much longer?"

For an independent US restaurant, start with the check-in path you will actually run on a Friday. A QR code on the shelf plus WhatsApp fits Waitlist. A virtual queue built around guests waiting off-site fits ScanQueue. A Yelp-led dining room fits Yelp Guest Manager.

You are replacing a clipboard that fails at 7:30 p.m. Someone writes "Sarah, 4?" and twenty minutes later nobody can tell whether Sarah is next, outside, or already gone. Guests ask the same question because the list is facing the host, not them.

This guide compares six restaurant check-in waitlist apps on one job: getting a party onto the list and calling them back. Prices below come from each vendor's public pages in October 2026. Confirm them before you switch a Saturday service onto a new tool.

What the check-in has to do

A host can add the party, or the guest can add themselves. Both work. The failure is a system that only does one of them when your door does both.

On a busy night the check-in needs four things:

  • Party size, so a two-top is not offered to a six-top.

  • A wait the guest can see, so they stop crowding the stand.

  • A message when the table is ready, on a channel they already have open.

  • A way for the host to seat them without hunting through paper.

Guests should not need an app download. Extra steps at the door lose parties who only came in because the specials board looked good.

Waitlist

Waitlist is restaurant waitlist software. A host adds a name, phone, and party size, or the guest checks in from their own phone for the waitlist or a reservation. The restaurant can also download a QR code, place it on a shelf, and let guests scan it to join. They get a WhatsApp with a personal link that shows their place in line. When the table is ready, you message them again.

It fits an independent dining room that wants the list, the wait, and the "table is ready" text in one place. Pro adds reservations, table management, analytics, automatic WhatsApp, and unlimited locations.

Pricing. Free covers 1 location, a digital waitlist, and manual WhatsApp, up to 50 parties a day. No credit card. Pro is $30/month, or $24/month billed annually. See pricing.

Drawback. Two-way SMS is still coming on Pro. Until then, the live guest channel is WhatsApp. Free messaging is manual, and 50 parties a day is a real cap on a packed Friday.

Verdict. Use it when the host stand is the product you need, and WhatsApp is how your guests already reply. Start on the free plan and run it through one weekend before you judge Pro.

ScanQueue

ScanQueue is a virtual queue. The guest scans a QR code or opens a link, enters a name and party size in the browser, and watches a live place in line. Staff call them from a dashboard. The free plan includes push alerts, 12 WhatsApp notifications a month, and 5 SMS trial credits. Paid plans add larger WhatsApp and SMS allowances.

It fits a walk-in restaurant or cafe where the win is getting bodies out of the doorway. Their virtual queue page also lists kiosk mode and a TV-style call.

Pricing. ScanQueue's virtual queue page lists that free Starter plan with a cap of 100 queue joins a month (10 a day), plus QR check-in and real-time updates. Paid plans start at $49 a month.

Drawback. The free join cap is monthly, so a single Saturday can burn a lot of it. Restaurant reservations and table management are not the center of the product the way they are on a restaurant waitlist. Read their plan page before you assume SMS is included on the cheapest paid tier.

Verdict. Choose ScanQueue when guests should leave the lobby and watch the line on their phone. Waitlist also lets the restaurant put a QR code on a shelf for guests to scan.

Waitlist Me

Waitlist Me is a waitlist and reservation app for US restaurants and other walk-in businesses. Hosts add guests on an iPad, Android tablet, or computer. Guests do not install an app. Messages go out by text or phone.

Self check-in is a paid feature. The Premium plan lists an "add yourself" web widget, self check-in, kiosk mode, and a public waitlist page, plus a reservations calendar.

Pricing. Waitlist Me says a free version exists. Premium is $27.99/month billed annually ($34.99 month to month) with 1,000 notifications a month, then $0.02 each. Pro at $47.99/month annual adds table management, two-way texting, and predictive wait estimates. Details are on their pricing page.

Drawback. Self check-in, the kiosk, and the website widget are on Premium. The free account is a thinner offer, and Waitlist Me does not publish its limits. Notification allowances are part of the price, so a chatty Saturday costs more once you pass the included texts.

Verdict. Use Waitlist Me if you want a kiosk or a website widget and the published US price is the main constraint.

NextMe

NextMe is a waitlist with SMS at the center. The free plan includes waitlist management, predictive wait times, real-time updates, a public waitlist display, WhatsApp notifications, and 100 SMS a month for one user.

Self check-in is listed under the paid Starter plan, along with a virtual waiting room and customizable texts.

NextMe features page listing customizable SMS, a virtual waiting room, and self check-in

Pricing. Free is $0. Starter is $49.99/month billed annually, or $59.99 month to month, with 3,000 SMS and 5 users. Business is $79.99/month annual.

Drawback. If the whole point is guest self check-in, the free plan does not include it. One hundred texts also disappears quickly if every party gets a join text and a table-ready text.

Verdict. NextMe fits a small room with light traffic that can live on host-added names for now, and will pay once guests should join themselves.

Waitwhile

Waitwhile combines queue management with appointments. Their site is aimed at businesses that mix booked visits and walk-ins, including multi-location operators.

Waitwhile visits screen with a bookings column, a waitlist column, and a phone that says you are next in line

Pricing. Waitwhile's pricing page shows Starter from $31/month. The published tier example is 1 location and 250 visits a month. The price changes with locations and monthly visits. Their page also says you can try Waitwhile. This draft does not state a free-plan party cap, because that limit was not in the pricing copy reviewed here.

Drawback. Visit-based pricing is harder to predict than a flat restaurant plan. The marketing site speaks to larger operations (they describe a fit from 10 to 600 service points). A single-host dining room can be a small customer for this product. Confirm how guest messages work on the tier you would buy. That channel was not spelled out on the pages used for this article.

Verdict. Pick Waitwhile when reservations and walk-ins have to share one schedule, and you are ready to price the tool by visit volume.

Yelp Guest Manager

Yelp Guest Manager is Yelp's reservation and waitlist product. Yelp's pricing page lists an online waitlist on Yelp, Google Search, and Apple Maps, plus reservation management and two-way texting.

Pricing. Basic is $159/month, or $129/month billed annually, with up to 500 booked covers a month. Plus is $349/month, or $279/month billed annually, with unlimited covers. Yelp says there is no per-cover fee. No free plan is listed on that pricing page. An annual commitment can include an early termination fee if you cancel during the term. Yelp states that on its restaurant FAQ.

Drawback. You are paying for Yelp's diner network as much as for the host stand. If your guests do not find you on Yelp, the check-in advantage shrinks and the monthly price does not. Basic's 500-cover cap matters for a busy room.

Verdict. Use Yelp Guest Manager when the waitlist should start on the Yelp listing, not on a QR card you printed.

Which check-in should you run?

Mostly walk-ins, one host, guests who will open WhatsApp. Add parties at the stand, or let them scan the QR code on the shelf. Waitlist matches that pattern. Upgrade to Pro when you also take reservations and need tables.

The line blocks the door. Put Waitlist's QR code on the shelf so guests can scan it and step aside. ScanQueue is built around guests leaving the lobby and watching the line on their phone.

Names should come from your website or a tablet at the entrance. Compare Waitlist Me's Premium self check-in and kiosk with NextMe's paid self check-in. Waitlist Me publishes the lower annual price. NextMe's free plan is the one to test if you are not ready for guest check-in yet.

Books and walk-ins on the same night. Price Waitwhile against Waitlist Pro. Waitlist Pro is a flat $30/month, or $24/month annual, for reservations and tables. Waitwhile starts at $31/month and moves with visits.

Yelp already fills the book. Yelp Guest Manager is the check-in that meets the guest where they searched. Keep a simple in-house list only if you hate the contract, and accept that those guests will not join from Yelp.

Run one Friday on the free or cheapest plan that includes the check-in method you picked. Count three things: parties added, "how much longer?" interruptions, and no-shows. Then pay for the next feature you actually hit, which is usually messaging volume, reservations, or a higher party cap.

FAQ

What is a restaurant check-in waitlist?

It is a digital line for walk-in parties. The host adds the guest, or the guest joins from a phone. The list shows party size and wait, then notifies the guest when the table is ready.

Do guests need to download an app?

Not for Waitlist, ScanQueue, Waitlist Me, or NextMe. Those products put the guest on a phone link or a browser page. Yelp Guest Manager sends guests through Yelp's waitlist. Ask each vendor about their current guest flow before you print signs.

Can guests add themselves?

Yes, on the products that include it. With Waitlist, the restaurant downloads a QR code and places it on a shelf. Guests scan that code to join the waitlist or a reservation. ScanQueue uses a QR code or link. Waitlist Me puts self check-in and kiosk mode on Premium. NextMe puts self check-in on the paid Starter plan. Yelp lets guests join the online waitlist from Yelp, Google, and Apple Maps.

How should you tell a guest the table is ready?

Use the channel already on their phone. Waitlist uses WhatsApp. ScanQueue uses push, WhatsApp, or SMS by plan. Waitlist Me and NextMe center on text, with WhatsApp listed on NextMe's free plan. Yelp lists two-way texting. Two-way SMS inside Waitlist is still on the way.

Is there a free restaurant check-in waitlist?

Waitlist's free plan covers up to 50 parties a day with manual WhatsApp. ScanQueue's free plan covers up to 100 joins a month. NextMe's free plan includes 100 SMS and does not include self check-in. Waitlist Me offers a free account, with self check-in on Premium. Yelp Guest Manager does not list a free plan. For a fuller free-plan comparison, see 7 best free waitlist apps for restaurants.

Can one app handle reservations and the walk-in list?

Waitlist does this on Pro, which adds reservations and table management. Waitwhile is built to keep bookings and walk-ins together, priced from $31/month by visits. Yelp Guest Manager includes both reservation and waitlist management on Basic.
