How to reduce waiting time in a restaurant

TL;DR

A full dining room, a line to order, a slow pass, and a slow check are four different waits. A host list changes only the door wait: a quote the guest can believe, a list that holds when the host is busy, and a message when the table is ready. Kitchen time and payment time need other fixes, so if the tallies are tables, start on Free and read the limits on pricing.

The short answer

To reduce waiting time in restaurant service, name the wait before you buy anything. On the next Friday, write down whether guests are waiting for a table, to order, for food, or for the check. A host-stand list shortens only the first of those. It will not cook faster, take an order, or close a check.

This is for the owner or the closing manager of one independent restaurant in the US. Do these five things on the next Friday. The sections under them are the detail.

1. Mark which wait is the long one. 2. Quote a number you can keep, before the guest decides to stay. 3. Put the party on a list and let them leave the doorway. 4. Seat the next party when the table is clear. 5. Leave the pass and the check alone if those are the real delays.

Mark which wait is the long one

The long wait is whichever column fills up. It is rarely all four.

Keep a card at the podium for one turn of the room. Four marks: table, order, kitchen, check. A guest who already has a chair and is waiting on a plate is a kitchen mark, even if they also asked the host how long. A guest standing at the counter who has not ordered yet is an order mark. A guest with the book down and the card still inside is a check mark. Only the person with no table is a table mark.

Illustration only, so the four waits are easy to tell apart. These counts are made up. They are not a survey, and they are not your Friday.

A 40-seat room at 7:15 p.m.:

  • 14 people at the podium, and no open table that fits the next party

  • 6 people at the counter who have not ordered

  • 9 plates under the lamp

  • 3 tables with the check down

The podium is the door wait. The lamp and the checks are different jobs. Averaging them into one "wait" sends you to the wrong fix.

Wait

What shortens it

What Waitlist does

No open table

Honest quote, list, message when ready

Quoted wait, host list, WhatsApp

Table empty and not reset

Reset, then seat

Pro shows free or occupied. It does not bus.

Line to order

Move ordering off the counter

Nothing. Not this product.

Food sitting in the pass

Ticket speed

Nothing. Not this product.

Check at the end

Take payment at the table

Nothing. Not this product.

If the table column is the long one, stay with the next three sections. If the marks are on the order, the kitchen, or the check, skip to the section on waits a host list will not shorten.

Quote a wait you can keep

Say a number you can keep, and put that same number on the list before the guest decides to stay or leave.

The host types three things: the name, the party size, and the quoted minutes. Elapsed time on that row is the restaurant waiting time you have to live with. When the elapsed time passes the quote, that party is overdue. A fresh number spoken at the podium, different from the row, is how the line stops believing you.

Guests without a phone stay on the list. Call the name when the table is ready. Dropping that name because there is no phone number is how a regular four-top disappears behind parties who used the QR code.

On Waitlist, the host sets the quoted minutes. The row then shows how long that party has already waited. The screen does not replace the number with its own estimate.

Let the party leave the doorway

The crowd in the lobby is people protecting a place on the list. It is not proof the dining room is the delay.

You reduce restaurant wait times at the door by getting that crowd out of the doorway once their name is down. They join from your link. The same link can sit in a QR code on the shelf. They do not install an app. If they would rather not use a phone, the host types the name. Either path is one list. A second clipboard for "people who scanned" is how two hosts seat the same four-top.

How to set up that join path is on the guest check-in page.

When the table is ready, Free is a manual WhatsApp. The host sends it. Pro sends WhatsApp on its own, including the guest's personal link and the ready message. Two-way SMS is not available, so do not plan the night around a text.

The host opens the list in a browser on iOS, Android, Windows, or macOS. The phone or tablet already at the stand is enough. There is no kiosk to buy.

Seat the next party when the table is clear

Seat the next fitting party as soon as the table is clear. Quote the following party only after that reset, or the quote includes a dirty table.

The empty-table gap is the stretch between a four-top standing up and the next four sitting down. If those chairs sit empty while the host is still quoting the next party, the wait the guest heard was the reset, not a full room.

Two checks, and neither needs a new device. Clear and reset the table before you give the next quote. Then match the party to the table that is actually open. A clear two-top goes to a two. A six waits for a six. Putting the six at the two-top because they arrived first burns two seats and starts a new wait for the party of two.

On Pro, each table shows free or occupied, and you assign the party from the list. Areas and tables are Pro only. The free plan is the walk-in list, without that floor. Waitlist does not bus a table and does not talk to a POS. Someone still has to clear the plates.

The waits a host list will not shorten

If the card says order, kitchen, or check, stop looking at the host list.

The line to order

Move the order off the counter. A second person writing tickets, or someone taking the order away from the single register line, is the kind of change that shortens this wait. The door list never hears the order.

Food sitting in the pass

Plates under the lamp are already cooked. The delay is the path from the pass to the table: a runner, or fewer stops between the ticket and the chair. Calling the next name at the podium leaves those plates where they are.

The check

Take payment at the table. A guest who has finished eating and is waiting at a terminal is holding a chair the door could have used. Closing that check is a payment step, not a waitlist step.

Waitlist does not take orders, fire tickets, or close checks.

Count the next Friday

After that service, write three numbers from the same night. No other report is required to see which step failed.

  • Quoted minutes, set next to the minutes until that party was seated. If the quote keeps running long, the next quote should be longer, or seating started after the table was ready.

  • Parties who left before you seated them. Set that count next to whether the quote was kept and whether the ready message went out.

  • Minutes from the table being clear to the next party seated. A gap here is a reset problem. The door list was not the delay.

Pro reports average wait, peak times, and no-shows, and it can export a CSV. Free does not include those reports. History for seated, canceled, and no-show parties is still available on the account. That history is the night's record. It is not the Pro analytics pack.

When the door wait is the one to fix

If the tallies are tables, start on Free for one location. Free is $0: one location, the digital waitlist, and manual WhatsApp, up to 50 parties a day. No credit card.

Move when that cap is real. Pro is $30/month, or $24/month billed annually. The annual price is 20% off $30. It removes the daily party cap and adds automatic WhatsApp, analytics, unlimited locations, reservations, and table management, plus priority support. Cancel from Settings. Pro stays through the period already paid, then the account is Free. There is no multi-year contract. Current numbers sit on Pro pricing.

If the tallies are the pass or the check, fix those first. A host list will not cook the food or close the book.

When the door is the wait you are fixing, start on Free and run one Friday on a single list. What that list has to hold, and when paying is worth it, is on restaurant waitlist software.

FAQ

How do you reduce waiting time in a restaurant?

Mark which wait is long: a table, an order, the kitchen, or the check. Quote a number you can keep, put the party on one list so they can leave the doorway, and seat the next party when the table is clear. Leave the pass and the check to their own fixes.

Does a digital waitlist make the kitchen faster?

No. It changes the door wait. It does not cook the food, take the order, or close the check.

How should a host quote a wait?

Say a number you can keep, then type that same number with the name and the party size. When the elapsed time on the row passes the quote, the next quote was too short or the table was seated late.

Should guests wait in the lobby?

Only the guest you will call by name, because they have no phone. Everyone else can leave the doorway once they are on the list and know you will message them. On Waitlist that message is WhatsApp: manual on Free, automatic on Pro.

Can you shorten the wait without hiring?

You can shorten the door wait without a new hire if the host quotes a number they can keep, uses one list, and seats the next party when the table is clear. A waitlist does not staff a pass or a payment terminal. If those columns are the long ones, the schedule is the fix.

How much does a restaurant waitlist cost?

Waitlist Free is $0 for one location, a digital waitlist, and manual WhatsApp, up to 50 parties a day, with no credit card. Pro is $30/month, or $24/month billed annually, which is 20% off $30. Pro removes the daily cap and adds automatic WhatsApp, analytics, unlimited locations, reservations, table management, and priority support. Cancel from Settings. Pro lasts through the paid period, then the account is Free. There is no multi-year contract.
